The best everyday utility is usually the one that removes one annoying step without demanding a new account, subscription, or complicated setup.

Our recommendation
  • Use a PDF utility for a one-off document job, then delete the upload if the service provides that option.
  • Use an image tool when you need a concrete output such as a resized, compressed, or reformatted file.
  • Use a scheduling or automation tool only when the repeated task is frequent enough to justify setup.

For files

PDF merge, compression, conversion, and signing tools are useful because the output is clear. You know whether the file opened correctly and whether the pages are in the right order. For sensitive documents, keep the work local or use a service approved by your organisation.

For repeated work

Zapier is useful when the same event should trigger an action in another app, such as adding a form response to a spreadsheet or sending a notification when a task changes. For personal organisation

Todoist focuses on capturing tasks, organising projects, and setting priorities, while Notion combines notes, documents, and project information. A useful test

Try the tool three times in one week. If it saves time on the third use and you can explain the workflow in one sentence, keep it. If setup remains the main activity, move on.
