The short answer

Gemini in Google Workspace is the AI assistant built into Gmail, Docs, Sheets, Slides, Meet and other apps. In Gmail it drafts and summarises. In Docs it helps write and edit and can answer questions from your files. In Sheets it helps organise and analyse data. In Meet it can take notes and summarise a call. Availability depends on your Workspace edition and admin settings, so check Google’s feature table. Review output before it is sent to anyone outside the business.

  • Gmail: write replies, summarise long threads, find information in your inbox.
  • Docs and Sheets: draft, edit, organise data and answer questions from files.
  • Meet: notes and summaries, depending on plan and admin settings.
  • Your Workspace edition and admin settings decide who gets what.

Gemini in Gmail

In Gmail, Gemini helps draft replies, tidy your wording and summarise a long thread so you can see the point before reading all of it. A side panel lets you ask questions about your email, such as when a supplier promised delivery. It works within your own mailbox permissions. Anything it drafts still needs your read before sending. Gemini in Docs

In Docs, Gemini can produce a first draft, rewrite a section in a different tone, summarise a long document and answer questions using files you point it to. It suits proposals, policies and internal notes. It is not a substitute for an expert reading a contract or a legal document.

Gemini in Sheets

In Sheets, Gemini helps with organising messy data, building trackers and explaining what a formula or table is doing. It saves time for people who are comfortable with spreadsheets but not expert. Check any figures it produces against the source, because a confident wrong total is the real risk.

Gemini in Meet

In Meet, Gemini can take notes and produce a summary with action items, and it offers some video and background features. Whether it is available depends on your edition and on admin settings. Tell participants when notes are being taken, and check local rules on recording and consent. Sources: Google Workspace: Gemini and AI

Plans and admin settings

Not every Workspace edition includes every Gemini feature, and admins can switch features on or off. Read Google’s plan comparison before you promise staff anything, then ask your administrator what is enabled today. Sources: Google Workspace pricing

Setting it up well

Fix your sharing permissions first, because Gemini works within what each person can already open and an untidy Drive makes that messy. Write a one-page rule on what staff may ask it. Start with one team, gather what works and what gets corrected, then widen it.
