The short answer
NotebookLM is Google’s AI research and note tool that answers questions based on the sources you upload, such as PDFs, documents and links, and shows where each answer came from. Businesses use it to digest long reports, policies, contracts for internal review, training material and meeting notes. It is useful because answers stay tied to your own sources. Check outputs against the originals, and for sensitive data read Google’s privacy page. For Workspace accounts, Google states uploads and queries are not used to train its models.
- It answers from your uploaded sources and cites them.
- Good for long reports, policies, training material and research.
- Check answers against the source. Summaries can miss detail.
- Google states Workspace uploads and queries are not used to train its models.
What NotebookLM does
You create a notebook, add sources such as documents, PDFs, web pages or notes, and then ask questions. Answers point back to passages in your sources, which makes checking easier than with a general chatbot. It can also produce summaries, study guides and audio-style overviews of your material. Business uses that work
Good uses include getting across a 90-page tender or industry report, building an onboarding notebook from your procedures, comparing several supplier documents, and answering staff questions from a policy pack. It suits any job where the answer lives in a defined set of documents.
Limits to know
It only knows what you add, so gaps in your sources become gaps in the answer. Summaries can smooth over exceptions that matter in a contract. Source counts and file sizes are capped and Google adjusts the limits, so check the help page for current numbers. Sources: NotebookLM Help
Privacy and data
Google’s help pages say that for Workspace accounts, uploads, queries and responses are not used to train its AI models or reviewed by humans, even when feedback is given. Personal accounts have different wording, including retention of feedback you submit. Read the current page for your account type before uploading sensitive material. Sources: NotebookLM Help
Who should be able to use it
Work accounts under your administrator are the safer route, and admins may need to switch the product on. Set a rule on what goes in, such as no personal client details unless you have checked the terms. Sharing a notebook shares access to the sources, so think before you invite people.
How it compares with other assistants
Gemini, ChatGPT and Claude can also read documents, but NotebookLM is built around a fixed source set and visible citations. It is a narrower tool. If you need general drafting, planning and chat, use an assistant alongside it.
